The Intellectual Property Attorneys’ Association (“IPAA”, “we”, “us” or “our”) respects the privacy of persons registering for and attending the IPAA Felicitation Dinner (“Event”).
This Privacy Policy explains what personal information we collect, why we collect it, how it may be used and the choices available to you.
1. Information We Collect
When you register for the Event, we may collect the following information:
- First name;
- Middle name, where provided;
- Last name;
- Mobile/WhatsApp number;
- Email address;
- Attendee category/type;
- Organisation or law firm;
- IPAA membership status;
- Registration and payment-related information;
- Information required to verify eligibility or membership; and
- Information contained in communications with IPAA concerning the Event.
The registration form specifically requests an active WhatsApp-enabled mobile number so that event-related updates may be communicated through WhatsApp.
2. Information Relating to Payment
Payments are made through the payment facility provided on the website and may be processed by a third-party payment gateway.
IPAA does not collect or store complete payment-card information such as card numbers, CVV numbers, passwords or payment authentication credentials where such information is processed directly by the payment service provider.
Payment-related information may be received by IPAA to the extent necessary to confirm registration, reconcile payments, issue acknowledgements and administer the Event.
3. How We Use Personal Information
Personal information may be used for the following purposes:
- processing and confirming Event registrations;
- verifying attendee category and IPAA membership;
- processing and reconciling registration payments;
- generating and sending the Event QR code;
- communicating Event-related information, including through email and WhatsApp;
- preparing and administering the Event guest list;
- managing admission and access to the Event;
- responding to queries and providing assistance;
- maintaining registration and accounting records;
- preventing fraudulent or unauthorised registrations;
- documenting and administering the Event; and
- complying with applicable legal, regulatory, accounting or other lawful requirements.
4. Guest List
The name provided during registration may be reflected in the Event guest list, as stated on the registration page.
By registering, you acknowledge that your name may therefore be visible to persons who have legitimate access to the Event guest list.
5. WhatsApp and Electronic Communications
The mobile number provided during registration may be used to send Event-related communications through WhatsApp.
By providing your WhatsApp-enabled mobile number, you consent to receiving communications reasonably necessary for the administration of the Event, including event updates and related logistical information.
Email may also be used for registration confirmation, QR-code delivery and other Event-related communications.
6. Photography and Recording
The Event may be photographed, filmed or otherwise recorded.
By registering for or attending the Event, you acknowledge and consent, subject to applicable law, to reasonable photography, videography and recording for documentation, archival, publicity and promotional purposes.
7. Disclosure of Information
Personal information may be shared, where reasonably necessary, with:
- Event organisers and authorised representatives of IPAA;
- persons involved in administering registration and admission;
- payment gateway and payment service providers;
- service providers assisting with email, WhatsApp or other event-related communications;
- venue or event-management personnel where necessary for administration and security; and
- governmental, regulatory or law-enforcement authorities where required by law or lawful process.
IPAA will not ordinarily sell your personal information to third parties.
8. Data Security
IPAA will take reasonable measures appropriate to the circumstances to protect personal information against unauthorised access, misuse, alteration, disclosure or loss.
However, no method of transmission or electronic storage can be guaranteed to be completely secure.
9. Retention
Personal information will be retained for as long as reasonably necessary for Event administration, accounting, record-keeping, dispute resolution, legal compliance and legitimate organisational purposes.
Information may be deleted or anonymised when it is no longer reasonably required, subject to applicable legal and record-retention requirements.
10. Your Rights
Subject to applicable law, you may contact IPAA regarding personal information provided by you and may request correction of inaccurate or incomplete information.
Where applicable, you may also request information concerning the processing of your personal information or exercise other rights available to you under applicable data-protection law.
Certain information may need to be retained where required for legal, accounting, security or legitimate organisational purposes.
11. Third-Party Websites and Services
The registration and payment process may involve third-party websites, payment gateways or communication platforms.
The privacy practices of such third parties may be governed by their own terms and privacy policies. Attendees should review the relevant policies where appropriate.
12. Changes to this Privacy Policy
IPAA may update this Privacy Policy from time to time to reflect changes in the Event, applicable law, technology or its practices.
The updated version may be published on the IPAA website with the revised effective date.
